Tenderscape

How to buy Tenderscape

The founding group goes live on 01/04/2027, the start of the 2027-28 financial year. Budgets are set in February and March, so decide by 15/01/2027. Once five or more organisations are live, each gets an anonymised comparison with its peers: recorded-route rate, suppliers invited and responses per quick quote, new suppliers and first-time winners, SME and local share of invitations and awards, and time to award.

    Your report, rebuilt

In 20 minutes we show how your published annual procurement report could be built from purchase records. No data needed.

  2. 02 · From December 2026

    Health Check

If it’s worth doing, a scoped Health Check under written terms sets your starting point and the three to five measures for the pilot, including how many suppliers each quote reaches.

  3. 03 · February and March 2027

    Set-up, including your suppliers

We set up your organisation, import your frameworks and contract register, and load your Public Contracts Scotland notices. We invite your current suppliers to join, free, and handle their onboarding: reminders, help with registration and their Supplier Passport, and a tracker so you can see who is ready.

    Pilot

For 12 weeks, one team runs real purchases through Tenderscape, at a fixed fee. Ask for the pricing sheet; your standing orders and total anticipated requirement determine the buying route.

    Decision

We compare the results with your starting point and the agreed measures. You decide whether to expand, refine or stop.

The pilot

For 12 weeks, one team runs real purchases through Tenderscape, at a fixed fee. Ask for the pricing sheet; your standing orders and total anticipated requirement determine the buying route.

Pilots are a fixed fee. Ask for our pricing sheet – it sets out the pilot fee, annual bands by organisation size, what's included, VAT, implementation and exit. Your standing orders and total anticipated requirement determine the buying route. After that, it is an annual subscription per organisation, with unlimited staff users and no charge for suppliers.

Ask for our pricing sheet

Success measures we agree with you before the pilot starts: time from request to award; share of below-threshold spend linked to a procurement record; suppliers invited per quote, and how many were new to you; share of approvals with a recorded reason; time to produce the annual report draft.

At the end of the pilot you decide whether to continue. Nothing renews automatically, and you can download all your records.

The subscription

An annual subscription per organisation, depending on its size and the modules it uses. The pricing sheet sets out the bands.

The value case

An illustrative case for a council of about 150,000 residents. Each line states its assumption; the pilot measures your own figures against them.

  • Officer time: about 3 hours saved per below-threshold quote (finding suppliers, chasing evidence, writing up the decision) across 400 quotes a year is 1,200 hours, about 0.8 of a full-time post.
  • Annual procurement report: drafting from your records instead of spreadsheets takes the first draft from about 10 working days to about 3.
  • Unmatched spend: reviewing spend not linked to a contract falls from about 2 days a month to about 1, saving 12 days a year.
  • Competition: if more suppliers per quote lowers prices by 1% on £5,000,000 of below-threshold spend, that is £50,000 a year.

Ask us to set these against the pilot fee and subscription band for your organisation.

Choosing a route

Your standing orders decide the route. Add up the pilot and any subscription you expect over the whole contract term when you check it against your thresholds and the £50,000 regulated threshold for goods and services. Tenderscape isn't yet available through a framework. For your procurement file we give you a written quote, the specification, our assurance pack and the draft data processing agreement.
